Add metadata to documents by navigating to <strong>File <\/strong>&gt; <strong>Info<\/strong> and including a document title and language. Other metadata will help you and others in searching for files.\r\n<h2><a id=\"headings\"><\/a>Headings and Paragraph Styles<\/h2>\r\nTo create accessible [pb_glossary id=\"1105\"]headings[\/pb_glossary] in InDesign:\r\n<ol>\r\n \t<li>Under the <strong>Type<\/strong> menu, open the <strong>Paragraph Styles<\/strong> panel<\/li>\r\n \t<li>Select\u00a0<strong>New Style<\/strong><\/li>\r\n \t<li>Double click on the newly created style to open the\u00a0<strong>Style Editor<\/strong><\/li>\r\n \t<li>Assign a name under <strong>General\u00a0<\/strong>&gt;\u00a0<strong>Style Name<\/strong>\r\n<ol>\r\n \t<li>Best practice would be to name it H1, H2, etc. as appropriate<\/li>\r\n<\/ol>\r\n<\/li>\r\n \t<li>Modify the style's visual appearance (font, font size, etc.) in Character format tabs.<\/li>\r\n \t<li>In the\u00a0<strong>Export Tagging<\/strong> category, use <strong>PDF Tag <\/strong>menu to set as appropriate\r\n<ol>\r\n \t<li>Set paragraphs to P<\/li>\r\n \t<li>Set headings 1-6 as H1-H6 respectively<\/li>\r\n<\/ol>\r\n<\/li>\r\n \t<li>Select heading text in the document and choose newly created style in\u00a0<strong>Paragraph Styles<\/strong> panel<\/li>\r\n \t<li>Repeat process for different heading levels, paragraph text, lists, quotes, notes, etc.\r\n<ol>\r\n \t<li>An existing style can be duplicated in the Styles panel<\/li>\r\n \t<li>Set a name in <strong>Style Name<\/strong> and select existing style to be duplicated in\u00a0<strong>Based On:<\/strong> menu.<\/li>\r\n \t<li>Style new style as desired.<\/li>\r\n<\/ol>\r\n<\/li>\r\n<\/ol>\r\nDo not use the text formatting toolbar.<img class=\"alignnone size-full wp-image-5112\" src=\"https:\/\/pressbooks.bccampus.ca\/accessibilityhandbook\/wp-content\/uploads\/sites\/1155\/2022\/04\/indesigntoolbar-1.png\" alt=\"\" width=\"957\" height=\"69\" \/>\r\n\r\nSet all required styles in the Paragraph Styles panel.\r\n\r\nRead more about <a href=\"https:\/\/pressbooks.bccampus.ca\/accessibilityhandbook\/chapter\/accessible-headings-quick-guide\/\">headings and document structure<\/a>.\r\n<h2><a id=\"textframes\"><\/a>Text Frames<\/h2>\r\nFor text columns or text divided by other document elements, link text frames together for proper flow of text. To create columns:\r\n<ol>\r\n \t<li>Create text frames<\/li>\r\n \t<li>Click on the small red plus icon near the lower right corner of the frame<\/li>\r\n \t<li>Select next text frame to be linked<\/li>\r\n<\/ol>\r\n<h2><a id=\"lists\"><\/a>Lists<\/h2>\r\nDo not create lists manually with separate blocks of text and images of bullets. Use built in list tools:\r\n<ol>\r\n \t<li>Highlight text to made a list.<\/li>\r\n \t<li>Click\u00a0<strong>Bulleted List<\/strong> or\u00a0<strong>Numbered List<\/strong> in the control panel.<\/li>\r\n \t<li>Or, if you have defined a custom list style, apply appropriate paragraph style.<\/li>\r\n<\/ol>\r\nUse bulleted lists when the order is not important. Interactive <\/strong><\/li>\r\n \t<li>Select <strong style=\"text-align: initial;font-size: 1em\">Buttons and Forms<\/strong> to open the\u00a0<strong>Buttons and Forms\u00a0<\/strong>panel<\/li>\r\n \t<li>With the newly drawn frame selected, choose type of form field from\u00a0<strong>Type\u00a0<\/strong>menu in <strong>Buttons and Forms<\/strong> panel<\/li>\r\n \t<li>In the dialogue that opens, the <strong>Description<\/strong> field will become the tooltip (necessary for accessibility) when exported to PDF<\/li>\r\n \t<li>Select<strong> Ok<\/strong><\/li>\r\n<\/ol>\r\nForm fields created this way will be automatically tagged in PDF format.\r\n<h2><a id=\"readingorder\"><\/a>Reading Order<\/h2>\r\n<h3>Layers<\/h3>\r\nInDesign files will likely include at least three layers: Text, images, and background.\r\n\r\nTo ensure logical [pb_glossary id=\"1301\"]reading order[\/pb_glossary]:\r\n<ol>\r\n \t<li>Navigate to\u00a0<strong>Window\u00a0<\/strong>&gt;\u00a0<strong>Layers<\/strong><\/li>\r\n \t<li>Re-order text layers to read from bottom to top of the Layers list\r\n<ol>\r\n \t<li>What is to be read first visually should be on the bottom of the list. What is to be read last should be at the top of the list.<\/li>\r\n<\/ol>\r\n<\/li>\r\n<\/ol>\r\n<h3>Articles<\/h3>\r\nTo ensure logical reading order:\r\n<ol>\r\n \t<li>Navigate to\u00a0<strong>Window\u00a0<\/strong>&gt;\u00a0<strong>Articles<\/strong><\/li>\r\n \t<li>The\u00a0<strong>Article Panel\u00a0<\/strong>will open, blank<\/li>\r\n \t<li>Open the more menu and select\u00a0<strong>Use for Tagging Order in Tagged PDF<\/strong><\/li>\r\n \t<li>Click and drag the first item to the\u00a0<strong>Article Panel<\/strong> and provide a name for the article when prompted<\/li>\r\n \t<li>Click and drag each item on the page to the <strong>Article Panel <\/strong>in the order it is to be read\r\n<ol>\r\n \t<li>The order of items in the <strong>Article Panel<\/strong> indicates the reading order for assistive technology reading from the top of the list to the bottom<\/li>\r\n<\/ol>\r\n<\/li>\r\n \t<li>Repeat for each page of the document<\/li>\r\n<\/ol>\r\n<h2><a id=\"masterpages\"><\/a>Master Pages<\/h2>\r\nMaster pages can be used as a [pb_glossary id=\"2028\"]template[\/pb_glossary] when creating InDesign documents. To use Master pages, select <strong>New Master<\/strong> from the Pages panel. Select\u00a0<strong>Override All Master Page Items<\/strong> before creating articles and exporting to PDF.\r\n<h2><a id=\"export\"><\/a>Export<\/h2>\r\nTo export to PDF:\r\n<ol>\r\n \t<li>Navigate to <strong>File\u00a0<\/strong>&gt;\u00a0<strong>Export<\/strong><\/li>\r\n \t<li>Choose\u00a0<strong>Adobe PDF (Interactive)<\/strong><\/li>\r\n \t<li>Click\u00a0<strong>Save<\/strong><\/li>\r\n \t<li>On the <b>General <\/b>tab, select:\r\n<ol>\r\n \t<li><strong>Create Tagged PDF<\/strong><\/li>\r\n \t<li><strong>Use Structure for Tab Order<\/strong><\/li>\r\n \t<li><strong>Forms and Media: Include All<\/strong><\/li>\r\n \t<li><strong>Embed Page Thumbnails<\/strong><\/li>\r\n<\/ol>\r\n<\/li>\r\n \t<li>Select\u00a0<strong>Export<\/strong><\/li>\r\n \t<li>Open PDF in Acrobat Pro to verify accessibility<\/li>\r\n<\/ol>\r\nNote: InDesign often exports excess tags.
