Reception Plan & Logistics
Starting the reception planning process early is key to securing the best venue and finding the right speakers for your event.
Securing Speakers
The speakers at an OER Champions event can reinforce the importance of OER work, share OER success stories, highlight the funding and supports available for OER creators, and address future opportunities and challenges in open education.
Examples of past UBC OER Champions (Vancouver) speakers include:
- Academic leaders such as the Provost or Vice President of Academic Affairs
- Library leaders such as the University Librarian or the Deputy University Librarian
- Previous OER Champions, faculty, and students who can speak to the process of creating OERs and the benefits of using OERs in the classroom
- OER specialists from CTLT and the library
Once the date for your event is confirmed, extend a formal invitation to potential speakers. Your invitation should clearly outline the event’s purpose and significance and give an idea of the event program. Around 1 month before your event, check back in with speakers to get a sense of the length of their talk, and to confirm whether or not they need any audiovisual equipment or support.
Added Invitees
An OER Champions event is a good way to engage with key university leaders such as department heads and deans about supporting OER projects on campus. Consider sending invitations to leaders in faculties with OER Champion nominees, as well as those who who have demonstrated a commitment to innovative teaching practices. Invitations should be personalized to each special guest, emphasizing the work being done in their faculty or department, and the impact their participation could have.
