Timeline Before the Event Activity
Nomination Phase
5-4 months Set meetings with the OER Champions Event Planning Team, including AMS/SUO, CTLT/CTL, and UBC Library.
Develop OER Champions nomination criteria.
4-3 months Develop the letter/web post outlining the recognition event and nomination criteria.
Develop the web form with the nomination criteria in a UBC survey system (e.g. Qualtrics, SurveyMonkey).
3 months Develop social media objects about the nominations. This should include a link to the nomination letter, criteria, and web form.
2 months Post the social media objects and webpage details about the nominations. Include the following sites:
- AMS websites and social media.
- Open UBC Website
- UBC Library Website
- Provost Teaching and Learning Website
1 month Collate nominations and evaluate for inclusion in the event.
Send invitations to nominees and nominators.
Secure a venue and catering.
Reach out to speakers and send invitations to special guests.
Post Nomination Phase
1 month Review nominations.
Send invitations.
3-4 weeks Create event materials (slide deck, event program).
2-3 weeks Review RSVPs and confirm guest list.
2 weeks Email event reminder with program attached.
Event Phase
1 month Book event space.
Send invitations to special guests.
Reach out to speakers and send invitations to special guests.
Review RSVPs and confirm guest list.
Post Event
1-2 weeks Draft the congratulations letter.
2-3 weeks Obtain letter signatures.
3-4 weeks Send congratulations letters to winners and department heads.
1-4 weeks Draft and a post for the Open UBC website about the event and winners.
