Make sure you are signed in using your UNBC user name and password. <\/strong>You can use either the <a href=\"https:\/\/www.microsoft.com\/en-ca\/microsoft-teams\/download-app\">desktop version<\/a> or the <a href=\"https:\/\/teams.microsoft.com\/v2\/\">Teams App<\/a> in a web browser. (for more information on UNBC Staff, Faculty &amp; Student access to Microsoft 365 Office Apps <a href=\"https:\/\/www.unbc.ca\/information-technology-services\/microsoft-365#\">see here<\/a>)<\/li>\r\n \t<li>Go to the <strong>Calendar<\/strong>\u00a0tab on the left.<\/li>\r\n \t<li>Click on the <strong>down arrow<\/strong> to the right of the <strong>New Event button<\/strong> (top right) and select <strong>\"Class\"<\/strong> from the options.<\/li>\r\n \t<li><\/li>\r\n \t<li><img class=\"wp-image-2378 alignnone\" src=\"https:\/\/pressbooks.bccampus.ca\/unbc\/wp-content\/uploads\/sites\/799\/2025\/06\/new-event-class.png\" alt=\"new event class meeting\" width=\"198\" height=\"384\" \/><\/li>\r\n \t<li>Fill out the details:\r\n<ul>\r\n \t<li><strong>Title<\/strong>\u00a0(e.g., \u201cCourse Q&amp;A Session\u201d)<\/li>\r\n \t<li><strong>Date and time<\/strong><\/li>\r\n \t<li><strong>Add required attendees<\/strong> (or leave blank to create a general link that you can share in your Moodle.unbc.ca course)<\/li>\r\n \t<li><strong>Make sure the toggle to schedule an Online\/Teams Meeting is blue in the \u201cLocation\u201d section<\/strong><\/li>\r\n<\/ul>\r\n<\/li>\r\n<\/ol>\r\n<img class=\"alignnone wp-image-2243 \" src=\"https:\/\/pressbooks.bccampus.ca\/unbc\/wp-content\/uploads\/sites\/799\/2025\/06\/teams-meeting-location-scaled.png\" alt=\"meeting location toggle\" width=\"741\" height=\"66\" \/>\r\n<ol>\r\n \t<li style=\"list-style-type: none\">\r\n<ul>\r\n \t<li>(Optional) Add description or meeting agenda file<\/li>\r\n<\/ul>\r\n<\/li>\r\n<\/ol>\r\n5. Adjust <strong>Meeting Options<\/strong>\r\n\r\n<img class=\"alignnone wp-image-2376\" src=\"https:\/\/pressbooks.bccampus.ca\/unbc\/wp-content\/uploads\/sites\/799\/2025\/06\/teams-meeting-options-class-1024x228.png\" alt=\"teams meeting options\" width=\"714\" height=\"159\" \/>\r\n\r\n<strong>Lobby Settings:<\/strong> determine who can enter the meeting without you having to click \"allow\" to let them in. It is recommended that you select <strong>\"People in my org\"<\/strong> to allow UNBC people to join without a lobby\/waiting room.\r\n\r\n<img class=\"alignnone wp-image-2375\" src=\"https:\/\/pressbooks.bccampus.ca\/unbc\/wp-content\/uploads\/sites\/799\/2025\/06\/settings-lobby-1024x773.png\" alt=\"lobby settings\" width=\"815\" height=\"615\" \/>\r\n\r\nToggle the option that says <strong>\"Require unverified participants to verify their info before joining'<\/strong> to on (blue). This gets UNBC people to sign into their account and allow them to participate in polls, chat and other features during the class.\r\n\r\n<img class=\"alignnone wp-image-2374\" src=\"https:\/\/pressbooks.bccampus.ca\/unbc\/wp-content\/uploads\/sites\/799\/2025\/06\/meeting-access-verify-1024x772.png\" alt=\"meeting access verify \" width=\"833\" height=\"628\" \/>\r\n\r\n&nbsp;\r\n\r\nIf you have co-instructors or anyone you want to allow instructor-level privileges, add them to the Co-organizers box shown below. It is found under the Roles menu item. Click in the \"Choose co-organizers\" box and start typing their name. Names of UNBC people should show up automatically. Click on their name to select them.\r\n\r\n<img class=\"alignnone wp-image-2373\" src=\"https:\/\/pressbooks.bccampus.ca\/unbc\/wp-content\/uploads\/sites\/799\/2025\/06\/add-co-organizers-1024x770.png\" alt=\"add co-organizers\" width=\"858\" height=\"645\" \/>\r\n\r\n&nbsp;\r\n\r\nIf you wish to record all meetings automatically, toggle the \"Record &amp; Transcribe automatically\" switch to on (blue). This will start the recording <em><strong>as soon as you start<\/strong><\/em> the meeting, and end when you leave the meeting.\r\n\r\n<img class=\"alignnone wp-image-2372\" src=\"https:\/\/pressbooks.bccampus.ca\/unbc\/wp-content\/uploads\/sites\/799\/2025\/06\/apply-changes-1024x774.png\" alt=\"apply changes button\" width=\"886\" height=\"670\" \/>\r\n\r\n&nbsp;\r\n\r\n6. Click on <strong>\"Apply\"<\/strong> to save all of your changes to the meeting options.\r\n\r\n7. Set the dates of your meeting - if it is a recurring course, click on <strong>\"Make recurring\"<\/strong> and set the days the course occurs on.\r\n\r\n&nbsp;\r\n\r\n<img class=\"alignnone wp-image-2377\" src=\"https:\/\/pressbooks.bccampus.ca\/unbc\/wp-content\/uploads\/sites\/799\/2025\/06\/make-recurring-class-863x1024.png\" alt=\"make recurring class\" width=\"662\" height=\"786\" \/>\r\n\r\n&nbsp;\r\n\r\nSelect the <strong>Start Date<\/strong> using the calendar button.\r\n\r\nSelect the <strong>days of the week.<\/strong>\r\n\r\nSet the <strong>End Date<\/strong>.\r\n\r\nClick <strong>\"Save\".<\/strong>\r\n\r\n<img class=\"alignnone wp-image-2371\" src=\"https:\/\/pressbooks.bccampus.ca\/unbc\/wp-content\/uploads\/sites\/799\/2025\/06\/recurring-multi-day.png\" alt=\"recurring meeting settings\" width=\"581\" height=\"499\" \/>\r\n\r\n7. Click <strong>\u201cSave\u201d<\/strong>\u00a0\u2014 this will schedule the meeting.\r\n\r\n&nbsp;\r\n\r\n&nbsp;\r\n\r\n<strong>\ud83d\udd17<\/strong><strong>\u00a0To Share the Meeting Link:<\/strong>\r\n<ul>\r\n \t<li>After saving, <strong>open the meeting<\/strong> in your calendar in the Teams app Calendar or Outlook Calendar.<\/li>\r\n \t<li>Select\/Highlight the Microsoft Teams Meeting join the meeting info at the bottom of the entry<\/li>\r\n<\/ul>\r\n<img class=\"alignnone wp-image-2381\" src=\"https:\/\/pressbooks.bccampus.ca\/unbc\/wp-content\/uploads\/sites\/799\/2025\/06\/find-the-link-1024x896.png\" alt=\"find and share the teams link\" width=\"629\" height=\"550\" \/>\r\n<ul>\r\n \t<li>Paste the link in your Moodle.unbc.ca course home page, Moodle announcements, in an e-mail, chat, etc.<\/li>\r\n<\/ul>\r\n&nbsp;\r\n\r\nIf you need to get back into the Meeting Options to adjust settings, click on the event to edit it in the Teams app or Outlook Calendar, and click on <strong>\"Meeting Options\".\u00a0<\/strong>\r\n\r\n&nbsp;\r\n\r\n<img class=\"alignnone  wp-image-2382\" src=\"https:\/\/pressbooks.bccampus.ca\/unbc\/wp-content\/uploads\/sites\/799\/2025\/06\/meeting-options-editing-1024x896.png\" alt=\"edit meeting options in calendar event\" width=\"685\" height=\"599\" \/>\r\n<h3><strong>Option 2: Schedule Teams Meeting Using Microsoft Outlook<\/strong><\/h3>\r\n<ol>\r\n \t<li><strong>Open Outlook<\/strong>\u00a0(desktop or web).<\/li>\r\n \t<li>Go to the <strong>Calendar<\/strong>.<\/li>\r\n \t<li>Click <strong>\u201cNew Event\u201d<\/strong>\u00a0or <strong>\u201cNew Meeting.\u201d<\/strong><\/li>\r\n \t<li>In the meeting window:\r\n<ul>\r\n \t<li>Add a <strong>Title<\/strong>, <strong>Date\/Time<\/strong>, and optionally invite attendees.<\/li>\r\n \t<li>Click the <strong>Teams Meeting<\/strong>\u00a0toggle (should say \u201cTeams Meeting added\u201d).<\/li>\r\n<\/ul>\r\n<\/li>\r\n \t<li>Click <strong>\u201cSend\u201d<\/strong>\u00a0to schedule.<\/li>\r\n<\/ol>\r\n<strong>\ud83d\udd17<\/strong><strong>\u00a0To Share the Meeting Link:<\/strong>\r\n<ul>\r\n \t<li>Open the event in your calendar (the Calendar can be found both within Microsoft Teams or Outlook).<\/li>\r\n \t<li>Copy the <strong>Teams Join Link<\/strong>\u00a0from the body of the invite.<\/li>\r\n \t<li>Share that link where needed.<\/li>\r\n<\/ul>\r\n<img class=\"alignnone wp-image-2241 \" src=\"https:\/\/pressbooks.bccampus.ca\/unbc\/wp-content\/uploads\/sites\/799\/2025\/06\/teams-meeting-sched.png\" alt=\"Meeting Schedule Options\" width=\"626\" height=\"903\" \/>\r\n\r\n&nbsp;\r\n\r\nThe meeting info will be at the bottom - copy this and send to students via Moodle Announcement, e-mail, or post link in the course.\r\n\r\n<strong>Notes:<\/strong>\r\n<ul>\r\n \t<li>You do not need to invite everyone via email \u2014 you can <strong>create the meeting for yourself<\/strong>, then just <strong>share the link with students &amp; co-instructors<\/strong>.<\/li>\r\n \t<li>For <strong>recurring meetings<\/strong>, select <strong>\u201cRepeat\u201d<\/strong> in either Teams or Outlook and set the frequency. See instructions below.<\/li>\r\n<\/ul>\r\n&nbsp;\r\n<h2><a id=\"recurring-meetings-for-a-semester\"><\/a><a href=\"#recurring-meetings-for-a-semester\">Recurring Meetings for a Semester<\/a><\/h2>\r\n<ul>\r\n \t<li>For <strong>recurring meetings<\/strong>, select <strong>\u201cRepeat\u201d<\/strong> in either Teams or Outlook and set the frequency.<\/li>\r\n<\/ul>\r\n<p data-start=\"1862\" data-end=\"1892\">When scheduling the Teams meeting, or if already created, click on it in Teams or Outlook Calendar to edit the meeting:<\/p>\r\n\r\n<ul data-start=\"1894\" data-end=\"2073\">\r\n \t<li data-start=\"1894\" data-end=\"1955\">\r\n<p data-start=\"1896\" data-end=\"1955\">Use the <strong data-start=\"1904\" data-end=\"1925\">\u201cDoes not repeat\u201d<\/strong> dropdown menu in the meeting setup to select a\u00a0<strong data-start=\"1965\" data-end=\"1975\">Weekly<\/strong> or <strong data-start=\"1979\" data-end=\"1989\">Custom<\/strong> recurrence frequency<\/p>\r\n<\/li>\r\n \t<li data-start=\"2012\" data-end=\"2073\">\r\n<p data-start=\"2014\" data-end=\"2073\">This saves time and creates static links for students to join the meetings (one link that is good for the whole course)<\/p>\r\n<\/li>\r\n<\/ul>\r\n<img class=\"alignnone wp-image-2261\" src=\"https:\/\/pressbooks.bccampus.ca\/unbc\/wp-content\/uploads\/sites\/799\/2025\/06\/teams-repeat-meetings-1024x798.png\" alt=\"Schedule Recurring Meetings in Teams\" width=\"633\" height=\"494\" \/>\r\n<h2><a id=\"inviting-students-and-teaching-assistants\"><\/a><a href=\"#inviting-students-and-teaching-assistants\">Inviting Students and Teaching Assistants<\/a><\/h2>\r\nThere are several ways to invite students and TAs to your Microsoft Teams sessions. Choose the method that best fits your course setup and communication preferences.\r\n<h3 data-start=\"360\" data-end=\"435\"><strong data-start=\"364\" data-end=\"435\">Option A: Add your TA or Students to Required Attendees box (for <\/strong><strong data-start=\"364\" data-end=\"435\">very small classes)<\/strong><\/h3>\r\n<ol data-start=\"1546\" data-end=\"1821\">\r\n \t<li data-start=\"1546\" data-end=\"1598\">\r\n<p data-start=\"1549\" data-end=\"1598\">Open your scheduled meeting in <strong data-start=\"1580\" data-end=\"1598\">Teams Calendar or Outlook Calendar<\/strong><\/p>\r\n<\/li>\r\n \t<li data-start=\"1599\" data-end=\"1678\">\r\n<p data-start=\"1602\" data-end=\"1678\">Click <strong data-start=\"1608\" data-end=\"1629\">\u201cMeeting Options\u201d<\/strong> (either in Teams or via Outlook calendar invite)<\/p>\r\n<\/li>\r\n \t<li data-start=\"1599\" data-end=\"1678\">Add<strong> \"Required Attendees\"<\/strong> by name\/e-mail to the meeting<\/li>\r\n<\/ol>\r\n<img class=\"alignnone wp-image-2265\" src=\"https:\/\/pressbooks.bccampus.ca\/unbc\/wp-content\/uploads\/sites\/799\/2025\/06\/teams-required-attendees-1024x105.png\" alt=\"required attendees\" width=\"577\" height=\"59\" \/>\r\n\r\n4.
