Nomination Processes

The nomination process involves refining and communicating your vision of what an OER Champion is. Consider how to use the nomination criteria and promotional materials to engage students in the nomination process and reflect on how open practices positively impact their education.

Nomination Criteria

The nomination criteria is the first step in preparing for the OER Champions event.  The criteria assists nominators in identifying individuals to be recognized for their work. Additionally the criteria assists in the adjudication process to ensure those nominated meet the goals and purpose of the award.

Example – OER Champions  2023 Nomination Criteria

  • Adoption or creation of  an open educational resources
  • Engaging in OER-enabled pedagogy and/or open pedagogy
  • Supporting equitable access to education with free of cost resources
  • Providing meaningful, contextualized materials for their students

The UBC OER Champions nomination criteria has changed over the years to focus on specific open education issues or goals identified by the student organizers, CTLT (Vancouver), and UBC Library.

Call for Nominations

The call for nominations is a letter posted on a number of UBC websites to promote the nomination criteria and process. The nomination letter is created by the OER Champions Event Planning Team, led by the student organizing team. For example, UBC Vancouver’s organizing team includes the UBC Alma Mater Society, CTLT (Vancouver), and UBC Library. The letter includes the following:

  • A brief description of the award and nominee criteria;
  • An overview of what open education and open educational resources are and how they benefit students;
  • A brief description of the event;
  • A link the nomination form.

Examples – OER Champions Call for Nominations

Each year that the OER Champions Recognition Awards have been held, the call for nominations have been adjusted. This is in keeping with the area of focus and goals of recognition award for the given year. The following are the nomination letters from the previous years awards.

Forms

The nomination form is developed using a UBC survey tool (e.g. Qualtrics, SurveyMonkey). The form is meant to gather as much details as necessary about the nominee and nominator to assist in evaluation and promotion. The form needs to include the following:

  • Short preamble about the award;
  • Nominator name, email, and role (e.g. faculty. staff, undergraduate student, etc.);
  • Nominee name, email, and department;
  • Course number where the OER was used;
  • Short description of the nominees’ work and why they should be recognized for their open education activities on campus;
  • Agreement for the information provided in the form to be use for promotion and communication about the champions.

The nomination form should be open two months prior to the event and should remain open for a maximum of 3 weeks with a reminder sent to communication channels at the midway point.
